Introduction

Under general supervision, the incumbent will provide diversified administrative support to the leadership and staff of a functional unit on the assigned project.

What are you going to do

  • Coordinate the daily administrative operations of the assigned functional unit.
  • Schedule meetings, prepare agendas, record and distribute meeting minutes.
  • Perform complex, diversified and specialized administrative support for project leadership and functional staff.
  • Prepare and type correspondence, memoranda, reports, presentations and other project documentation.
  • Create and maintain forms, templates, spreadsheets and databases.
  • Compile and organize statistical and project-related information.
  • Review and recommend improvements to administrative procedures and work processes.
  • Establish and maintain electronic and hard-copy filing systems.
  • Process and distribute contract document transmittals to support project record keeping.
  • Interpret established policies and procedures and provide administrative support in resolving routine issues.
  • Attend meetings on behalf of the supervisor when required.
  • Perform other duties as assigned.

Autonomy/Decision Making: Works under regular supervision with limited authority to establish priorities or timelines impacting the assigned area of responsibility.

Budgetary Responsibility: Has no budget responsibility.

Managerial Responsibility: Does not supervise personnel, projects or programs.

Requirements:

* High School Diploma or equivalent.* Minimum of five (5) years of administrative or secretarial experience.
* Experience supporting heavy industrial engineering and construction projects is preferred.* Strong written and verbal communication skills.
* Excellent organizational and documentation skills.* Self-motivated, quick learner and able to work independently in a fast-paced project environment.
* Proficient with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint).* Ability to operate standard office equipment including computers, printers, scanners and photocopiers.
